Privacy Policy
Effective October 23, 2026
VisitTrail ("VisitTrail", "we", "us") makes a mobile app that helps home watch and field service businesses run checklists, capture photos and signatures, and create PDF reports. This policy explains what information the app collects, how we use it, and the choices you have.
- We collect only what the app needs to work: your email, your business profile, and the inspections you create.
- We do not sell your information, show ads, or use advertising trackers.
- You can delete your account and its data at any time from inside the app.
1. Information we collect
Account information
Your email address. You sign in with a one-time code sent to your email, so we do not store a password.
Business profile
The business name, license number and logo you choose to add. These appear on the PDF reports you create.
Inspection content
The checklists and templates you create, and the inspections you complete with them: answers, notes, photos, signatures, dates, and any property or client details you enter, such as a client name or property address.
Purchase information
If you subscribe, we receive your subscription status, plan and renewal or expiration date from Apple, Google or Stripe. Payments are handled by those companies. We never receive your full card number.
Support messages
The contents of emails you send us and any details you include.
Technical information
When the app connects to our servers, our hosting provider records standard technical data such as IP address, time of the request, and device and operating system type. We use this for security, troubleshooting and keeping the service reliable.
What we do not collect
We do not collect your precise location, your contacts, or advertising identifiers.
Device permissions
- Camera: to take inspection photos when you choose to.
- Photo library: to attach existing photos or choose a logo when you choose to.
The app accesses these only when you use the feature that needs them. You can change permissions at any time in your device settings.
2. How we use information
- To provide the app: sign you in, save your work, and generate your reports.
- To back up and restore your data across sessions and devices when you are signed in.
- To manage subscriptions and the features included in your plan.
- To respond to support requests and send important service messages, such as sign-in codes or changes to this policy.
- To protect the service, prevent abuse, and comply with the law.
We do not use your inspection content to advertise to you, and we do not sell it.
3. Where your information is stored
VisitTrail is built to work offline. Your inspections, photos and signatures are saved on your device first. When you are signed in and connected to the internet, this data is also stored on our cloud servers, operated by our hosting provider Supabase, so it can be backed up and restored.
PDF reports are generated on your device. A report leaves your device only when you choose to share it, for example by email or text message.
4. How we share information
We share information only in these cases:
- Service providers that run parts of the service for us, under agreements that limit how they may use it: Supabase (sign-in, database and file storage), Apple, Google and Stripe (payments and subscriptions), and Google Workspace (email).
- People you choose to share with, such as a client you send a PDF report to.
- Legal reasons: when required by law, or to protect the rights, safety and property of our users, the public or VisitTrail.
- Business transfers: if VisitTrail is involved in a merger, acquisition or sale of assets, your information may be transferred under the same protections described here.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
5. Your clients' information
When you enter information about your own clients or their properties, you decide what to collect and you are responsible for having the right to collect and share it. We process that information only to provide the service to you. If one of your clients asks us about their information, we will refer them to you and help you respond.
6. Retention and deletion
We keep your information while your account is active.
You can delete your account at any time in the app under Settings → Account → Delete account. This permanently deletes your account, inspections, templates, photos, signatures and logo from our servers, and removes VisitTrail data from that phone. Copies may remain in our hosting provider's backups for up to 30 days before they are overwritten. We may keep records we are legally required to keep, such as purchase records.
Deleting your account does not cancel a subscription. Cancel it in the App Store, Google Play or your Stripe receipt; see our Support page for steps.
If you can't access the app, email us and we will delete your account for you after confirming that you own it.
7. Security
Data is encrypted in transit between the app and our servers. Access to your cloud data is restricted to your own account. No method of storage or transmission is completely secure, so we cannot guarantee absolute security, but we work to protect your information and limit who can access it.
8. Your rights and choices
Depending on where you live, including California and other U.S. states, you may have the right to:
- know what personal information we hold about you and get a copy of it;
- correct information that is inaccurate;
- delete your information;
- opt out of the sale or sharing of personal information (we do neither).
To make a request, email support@visittrail.app from the email address on your account. We will confirm your identity before acting and respond within the time required by law. We will not treat you differently for using these rights.
9. Children
VisitTrail is a business tool and is not directed to children under 13. We do not knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will delete it.
10. International users
VisitTrail is operated for users in the United States. Our service providers may store and process information in the United States and other countries where they operate. By using the app, you understand that your information may be processed outside the country where you live.
11. Changes to this policy
We may update this policy as the app changes. When we do, we will change the effective date at the top of this page. If a change is significant, we will tell you in the app or by email before it takes effect.
